Pricing: The SAMI management fee
is inclusive.
There are no additional fees for rent, equipment,
word or data processing services, desktop publishing of regularly
contracted items such as a newsletter or directory, preparing mailings
(under 200 pieces - mailings over 200 pieces will be subcontracted
to a mailing service), telecommunications equipment and any other
general office or personnel expenses. Office expenses such as postage,
copying, telephone long distance, travel (as authorized by the client),
office supplies (specifically for client activities) and any purchases
on behalf of the client (printing, awards, meeting expenses, etc.)
are billed to the client at cost with appropriate supporting documentation.
SAMI staff will abide by client travel policies or, if no staff
travel policies exist, clients are invited to review SAMI staff
travel policies.
Accountability: At SAMI we believe
in strong accountability to our clients. A representative of each
client organization is provided a monthly activity and expense log.
The activity log details the activities of SAMI on each client activity
including date, time, activity performed, committee or program area
(if appropriate) and the name of the staff member performing the
activity. The expense log details all expenses on behalf of the
client with supporting documentation.
Review of SAMI performance: The
contract is for one year. The contract will be reviewed after one-year
with discussion on performance in each of the "services required"
areas. Clients will receive a monthly activity log indicating hours
used, activity performed and personnel used.
Other SAMI Policies: It is the
policy of SAMI to:
- Maintain the confidentiality of all records,
files, rosters and statistical data, which material shall not
be distributed without prior approval of the Board.
- Assure that the organization complies with all
applicable state and federal laws.
- Provide necessary computer equipment and software
for the efficient provision of the services, including the most
recent software releases, T-1 internet access, and a program of
virus protection monitoring to prevent the spread of computer
viruses.
